5. Fixing mistakes

Forgot to clock on or off, or picked the wrong break? How to fix job time yourself, and how shifts are queried, corrected and voided, with a reason every time.

Where it is

Settings for this

Who this is for: everyone on hours. Correcting shifts needs a manager.

The two clocks are fixed in different ways. Job time can be fixed on the job. Your shifts are your pay record, so you ask and a manager corrects them.

Job time

Forgot to stop a timer?

  1. Open the job's Time tab. A running timer shows as a green chip with Stop. Press it.
  2. If that leaves too much time on the job, delete that entry with the bin at the end of its row under Time Entries. BuildTrack asks first, because a deleted entry can't be brought back.
  3. Press + Manual entry, choose the Task and Technician, set the real Start and Stop, and press Add entry. It's marked (manual).

Forgot to start one? Add the time with + Manual entry the same way.

Wrong line? Press Switch here on the right line, and fix the times with a manual entry if it matters.

Your shifts

You can't change your own shift. You tell the people who can.

  1. In My time › Hours, press Query on the shift.
  2. In Query this shift, tap a quick reason (I started earlier than this, I finished later than this, My break was shorter, I forgot to clock off) or write your own under What looks wrong?
  3. Press Send query. It goes on the shift's record and to the people who can correct shifts. Nothing changes until one of them does it. You can send up to ten a day.

Forgot to clock off? My time and the Clock card turn red: Still on since … forgot to clock off? Clock off now so the shift stops growing, then query it with I forgot to clock off and the time you really left.

Forgot to clock on? Tell your manager. They add the shift for you.

For managers: correcting a shift

This needs the permission Correct, add, void and approve shifts (always audited). Owners and admins have it.

  1. People › Timesheets. Click the worker's day. The drawer lists that day's shifts.
  2. Correct opens Correct shift: change Start, Finish, Unpaid break (min) or Note. Type a Reason (it goes on the record) and press Save correction.
  3. Void is for a shift that shouldn't exist, such as a mistaken clock-on. Give the reason and press Void. It stays on the record, struck through, marked VOIDED with the reason, and counts for nothing.
  4. Add a shift for this day covers a forgotten clock-on or a paper timesheet. Fill in the times and a reason, then press Add shift. It's marked Entered by manager, and the grid shows an M.
  5. History on any shift shows every change: what it was, what it became, when, and the reason.

The rules that keep it honest

  • Nothing is ever deleted. A shift is corrected or voided, and the original stays on its history.
  • Every correction needs a reason.
  • A corrected shift goes back to Unconfirmed, so the worker checks it again.
  • Locked shifts can't be corrected. Someone with Manage workers, PINs, balances, and lock exported timesheets presses Unlock on the shift, with a reason, first (lesson 6).
  • A shift left open is never closed by itself, because that would invent hours. Managers are told when one has been open too long.

Where it ends

The shift shows the right times, its history says why it changed, and the worker confirms it again.
