3. Confirming your week
Check your shifts at the end of the week and confirm them. Your manager approves after you, and the approved hours go to payroll.
Where it is
Who this is for: everyone on hours.
Your shifts are the record your pay comes from. You check them first; your manager approves them after you.
What a shift's status means
| Status | It means |
|---|---|
| Unconfirmed | Clocked, and you haven't checked it yet |
| Confirmed | You've checked it. It's waiting for your manager |
| Approved | Your manager has approved it. Its hours are fixed for payroll |
| Locked | Payroll has it. Nobody can change it without unlocking it |
| VOIDED | Struck out with a reason. It stays on the record and counts for nothing |
Step by step (My time)
- Open your avatar › My time and go to Hours. It opens on This week; ‹ and › move a week at a time, up to four weeks back.
- Check the totals: Worked, Rostered and Overtime, then the hours by band below them (Ordinary, overtime, weekend and so on).
- Check each day: the times you were rostered, then each shift's start and finish, break and status. The line under it says how it was clocked: Kiosk PIN, Badge, Web, Mobile or Entered by manager.
- Look at the flags on a day, such as Started late, Finished early, Didn’t clock on or Worked an unrostered day. They're for your manager to check; they don't change your hours on their own.
- All correct? In the blue box that says how many shifts are left to confirm, press Confirm week.
- Something wrong? Don't confirm it as it is. Press Query on that shift and say what's wrong (lesson 5). Confirm once it's been fixed.
At the time clock
Tap your name, then Confirm week. The week's shifts are listed first, with n to confirm and the total worked. If it's right, enter your PIN and press Confirm my week. You'll see Week confirmed. If it's wrong, the screen says it: Something wrong? Don’t confirm — tell your manager.
On Timesheets
People › Timesheets shows your own row. While any of your shifts are unconfirmed, Confirm my week appears at the top.
What happens after
- Confirming covers finished shifts in the week on screen. A shift still running isn't included.
- Your manager approves the week (lesson 6). From then its hours by band are fixed, whatever changes later. Until then My time says the hours can still change until your manager approves them.
- If a manager corrects a shift you'd confirmed, it goes back to Unconfirmed, because it's no longer what you checked. Confirm it again.
- Once payroll has the hours, the week is locked.
Where it ends
Your week is Approved, then Locked, and the hours go to payroll.
