4. Doing the work: tasks and services
The Work tab is the technician’s list: tasks to do, grouped into services with Concern, Cause and Correction, and a Start, Pause and Finish on every line.
Who this is for: technicians, and the service advisers and managers who set the work up.
Two kinds of "start"
- Start work (the orange button at the top) moves the job to In progress. Press it when the car goes into the bay.
- Start on a task line starts your clock on that line. It doesn't move the job.
Press Start work first, then clock onto the line you're doing.
Where to find it
On the job, the Work tab. It's the tab every job opens on.
The tasks
The Job Tasks list is what needs doing, with a count of how many are done.
- + Add Task: type the Task title… and press Add.
- ⟳ Sync from SO: if the job has a sales order, this brings its labour lines in as tasks. It keeps anything already assigned, scheduled or edited. On a job with no tasks yet, the same thing reads ⟳ Import Tasks from Sales Order.
- ✨ Auto-schedule tasks: for big jobs, BuildTrack plans each task into a bay, technician and time slot inside the job's booking. Set Not before if needed, check the ✨ Proposed task schedule and apply it.
- Click a line to set its estimate, bay, time and who it's assigned to. The status box on the line sets Pending, In Progress, Blocked or Done.
Clocking onto a line
Each line has its own timer, for the person signed in:
- Press Start on the line you're working on. The clock shows on the line in green.
- Going to lunch or waiting on something? Press Pause. The clock stops and the line stays open.
- Done? Press Finish ✓. The clock stops and the line is ticked done.
- Clocked onto another line? The button reads Switch here, which moves your clock across.
The tick box at the start of a line marks it done (or reopens it) without touching the clock. Clocking in more detail, including the Time tab, is in the Clocking on course.
Services: Concern, Cause, Correction
For repair work, group tasks into services, one for each thing the customer came in about.
- Press + Add service, type a title such as "Front brake noise" and press Add.
- Fill in the three boxes: Concern (what the customer reported), Cause (what you found) and Correction (what was done).
- The status chip cycles Pending → In progress → Done when you click it.
- The approval chip records the customer's answer: No approval needed, Awaiting approval, Approved or Declined.
- Move a task or a part into a service with the box on its line. Deleting a service moves its tasks and parts back to General.
Each service card also lists its parts, with how many are required, allocated, picked and installed.
Found more work?
Press + Quote extra work in the left panel. It makes a new quote for this customer and vehicle, so the extra work can be priced and approved. While you wait for the answer, put the job on hold as Awaiting approval (lesson 6).
Is it one of your standard services? + Add canned job, just below, adds a canned job: Add to the job now if the customer has already agreed, or Quote it for approval.
Costs
If your role can see costs, the left panel's Hours & Costing shows the labour Cost, Billable and Margin. Technician roles see the hours but not the money.
What happens by itself
- Starting a line moves it to In progress; finishing it marks it Done.
- The job's sales order follows the job: starting work puts the order in progress.
Where it ends
Every line is done. The job goes to QC (lesson 7). If nobody clocked any time on it, BuildTrack asks before you finish: Add time takes you to the Time tab; Finish anyway carries on without it.
