7. QC and handover checks
Before a car is called ready, someone checks the work line by line, then the handover is documented with photos and signatures.
Settings for this
- Settings → Workshop → Checklists — The QC and Delivery lists
Who this is for: technicians and workshop managers who check and sign off work.
Where to find it
On the job, the QC & Handover tab. It has two steps across the top: 1 · QC and 2 · Delivery. A tick (✓) or cross (✗) on each shows how it went.
Step 1: QC
- Open 1 · QC. The Quality Control Checklist is your business's QC list, with a count of lines complete and failed.
- Answer every line. Tick it, or choose Pass, Fail or N/A, enter the measurement, or type the answer. Add a photo or note where the line asks ("required", or "on fail" for a failed line).
- Check the work itself. By default, the Work verification box shows whether every labour line on the Work tab is done and every part installed. Anything open is listed.
- Defects. Under Defect Notes / Rework Required, write what's wrong and what's needed. A note here also lets you pass QC while the Work verification still shows open lines, as an exception.
- Sign, if your checklist asks: Technician sign-off, and the Customer signature if needed.
- Press Save & Pass QC ✓, or Save & Fail QC if it isn't right.
Save & Pass QC ✓ stays greyed out until every required line (and its photo or note) is complete. The list above the buttons says exactly what's still in the way.
The QC buttons need the Perform QC sign-off permission, and marking the job ready or delivered needs Mark jobs delivered. Without them, ask a manager.
When QC fails
The job stays In progress and the Mark ready button warns "QC failed — fix and re-check before marking ready". Fix it, then come back and pass it. While it's waiting to be checked you can put the job on hold as In QC (lesson 6).
Step 2: Delivery
Open 2 · Delivery once QC has passed. Until then a yellow note says "QC must be passed before marking ready for delivery".
- Photos. Under Photo Documentation there are three sets:
- Marketing Gallery: good-looking shots for your website and socials.
- Work Documentation (Required): proof of the work, such as install shots, wiring and before and after.
- Handover Documentation: the car's condition as it goes back.
- The delivery checklist. Work through it like the QC list. If your checklist lists the job's parts one by one, they're under Items Delivered.
- Signatures, if your checklist asks.
- Press Save Checklist to save as you go.
Mark ready for delivery
When it's all done, press Mark Ready for Delivery. The job moves to Ready.
The button tells you what's stopping it:
| The button says | Do this |
|---|---|
| · QC must pass first | Finish step 1 |
| · Checklist 6/8 | Finish the delivery checklist |
| · Technician signature | Get the signature |
| · Add a proof photo | Add at least one Work Documentation photo |
You can also press Mark ready at the top of the job. It needs QC passed (or no QC started) but not the delivery checklist.
Where it ends
The job is Ready. Next, tell the customer (lesson 8).
