8. Telling the customer it’s ready

One message with photos of the finished work, the invoice and a way to pay, plus a few suggestions. Review it, then send by SMS or email.

Settings for this

Who this is for: service advisers, and whoever calls customers in.

When you can send it

Notify customer — ready appears once the job is Ready (or later) and has a customer. On desktop it's the blue button at the top of the job; on a phone it's in the ⋯ menu.

Raise the invoice first (lesson 9) if you want the customer to see it and pay. Without one, the message still goes, with photos and suggestions only.

Step by step

  1. Press Notify customer — ready. The box "Your vehicle is ready" opens, with a live preview of the customer's page on the right.
  2. Message. Tick SMS, Email or both. The wording shows underneath; it comes from Integrations › Customer Messaging.
  3. A note from you. Write a line for the customer, such as where the keys are or anything you noticed. It's shown on their page.
  4. Photos. The photos from QC & Handover are already ticked. Click a photo to leave it out, use Select all or Clear, or + Add photos to add more.
  5. Invoice & payment. This tells you what the page will show:
  • money owing and online card payments on: a Pay now button;
  • money owing, no card payments: your bank details with the invoice number as the reference, and your note that funds must clear before release;
  • paid in full: a thank you.
  1. While you're here. Suggestions for the customer: your usual list (Upsell products in Integrations › Customer Messaging), plus any product you search for under "Add a product for this customer". Remove any with ✕.
  2. Press Send via SMS + email (the button names the channels you ticked).

When it's sent, the box shows Sent. and the link. Copy link copies it, for a message from your own phone. Press Done.

Sending needs Customer Messaging connected. If it isn't, BuildTrack says so and nothing goes.

What the customer sees

The link opens their own page, with your logo:

  • Your job is ready 🎉, the job and the vehicle;
  • A note from your business, if you wrote one;
  • Completed work: the photos. They tap one to see it full size;
  • Your invoice: the number and Amount due, with Pay now (card) or Pay by bank transfer details;
  • once they've paid, Happy with the work? with Leave us a review, if you've set a review link (Settings › Customer portal);
  • While you're here: your suggestions, with prices inc GST and I'm interested →, which starts an email to you.

Once it's paid, the heading changes to Thank you! and the invoice reads Paid in full.

What happens by itself

  • A card payment made with Pay now goes onto the invoice by itself.
  • The message is noted on the job's activity.

Where it ends

The customer knows, and has paid or knows how to. When they arrive, hand the car over (lesson 9).
