3. Delivery and handover with the customer

The 2 · Delivery step is the handover: the photos, the handover list, the walk-around with the owner and both signatures. Then hand over and close the job.

Where it is

Settings for this

Who this is for: technicians, service advisers and salespeople who hand vehicles over.

The handover is the customer's last memory of you. A PDI makes sure the car is right; the handover makes sure the owner knows it is.

Where to find it

On the job, QC & Handover, then 2 · Delivery. Until QC has passed, a yellow note says "QC must be passed before marking ready for delivery".

Two ways through it

If your Delivery list...Do this
Has no customer signatureFinish the list before the owner arrives, then press Mark Ready for Delivery. The job is Ready.
Needs the customer's signature (usual for a PDI)Press Mark ready at the top once QC has passed. Do the Delivery step with the owner, then press Mark Delivered ✓.

Mark Ready for Delivery only shows while the job isn't Ready yet. Once it's Ready, the step shows Mark Delivered ✓ instead (once there's a Work Documentation photo).

Step by step

  1. Photos. Under Photo Documentation there are three sets:
  • Marketing Gallery: good shots for your website and socials. Only what you'd happily publish.
  • Work Documentation (Required): proof, such as the accessories fitted, the odometer and the tyre placard. At least one photo is needed before the car can be marked delivered.
  • Handover Documentation: the car as it leaves, all round. If the owner later says a mark is new, these settle it.
  1. The walk-around, with the owner. Walk round the car together and work down the Delivery list as you go: features and accessories shown, keys handed over, manuals and paperwork in the car, anything they asked for pointed out. Let them ask questions.
  2. Signatures. Technician sign-off, and the Customer signature with the owner's name typed in, signed on the screen.
  3. Saving. Photos and signatures save the moment you take them, and the ticks save themselves a moment after each change ("Saved" shows beside Save Checklist). They're saved again before Mark Ready for Delivery or Mark Delivered ✓ moves the job on. Save Checklist is still there if you want to be sure.
  4. Mark it. Mark Ready for Delivery or Mark Delivered ✓, as in the table above.

If Mark Ready for Delivery is greyed out, the button says why: · QC must pass first, · Checklist 6/8, a missing signature, or · Add a proof photo.

Telling the customer

On a job with a customer, Notify customer — ready appears once the job is Ready. It sends photos of the finished work, the invoice and how to pay. The Workshop course, lesson 8, covers it.

A PDI made from a stock unit has no customer (the dealer pays for it), so there's no Notify customer — ready on it. The buyer hears from the salesperson, and the sale is completed on the deal (lesson 4).

Hand over and close

  1. A customer's own car (an accessories fit-out or build): raise the invoice before they arrive (Raise invoice, Workshop course lesson 9). When they drive away, press Hand over at the top (or Mark Delivered ✓). Handing over is what takes the parts out of stock.
  2. A car from your stock: there's nothing to invoice on the PDI job. The deal has its own tax invoice. Complete the sale on the deal (lesson 4), then press Mark Delivered ✓ or Hand over on the PDI job.
  3. Press Close job.

Once the job is Delivered, the Delivery list is read-only.

Where it ends

The owner has the car, both of you have signed, and the job is Closed.
