2. Templates: what gets checked (managers)

A template is the list a digital inspection works through: its sections, its items, which items are a sales chance, and the typical price to fix each one.

Where it is

Who this is for: workshop managers, and whoever looks after your inspection checklists.

Anyone who can open the workshop can open this page, so agree in your team who changes templates.

Where to find it

Sidebar Service › Workshop, the Inspections tab, then Manage Templates. The "Inspection Templates" page lists every template with its Vehicle Type, Sections, Items, Est. Time and whether it's the Default.

Step by step: a new template

  1. Press New Template. BuildTrack makes one called "New Inspection Template" and opens it on Edit Template.
  2. Fill in the top card: Name (what technicians and customers will see, such as "Pre-trip touring check"), Vehicle Type (for example 4x4 or touring), Estimated Minutes and a Description.
  3. Press Save Header. The button only appears once you've changed something in the top card.
  4. Press Add Section for each part of the car you check, such as Brakes, Tyres or Under the bonnet. Click the section's name to rename it.
  5. In each section, press Add Item for each thing you check. Click "New Item" and type its label, such as "Front brake pads".
  6. Type a $ price beside any item you'd usually charge to fix (below).
  7. Press Upsell on items that are a sales chance (below).
  8. Drag the grip on the left of a section or an item to change the order. The bin deletes it; BuildTrack asks first.

Sections and items save as you go: when you click away from a name or a price, it's saved. Only the top card needs Save Header.

Write labels the customer understands. The item label goes on the customer's report, in their portal and onto the quote line. "Front brake pads" beats "FBP".

The typical price

The small $ box on each item is the usual price to fix it, ex GST. When a technician marks that item Caution or Fail, the price fills in by itself when the findings become a quote (lesson 5). Leave it blank for items you'd price case by case; their quote line starts at $0.

You don't have to fill every price now. When someone types a price while making a quote and leaves Remember these prices on the template ticked, that price is saved here for next time.

Upsell

Upsell marks an item as a sales chance, such as wiper blades, a cabin filter or a wheel alignment. It turns orange on the template, and on every inspection made from it the item wears an Upsell badge, so the technician knows to look closely and photograph it.

The default and copies

To do thisPress
Make a template the one New Inspection picks firstSet default in the Default column
Edit a templateIts name, or the pencil
Start a new template from an existing oneThe copy icon (Duplicate). The copy is called "(Copy)", has every section, item, price and Upsell flag, and opens ready to edit

What happens by itself

  • Each inspection keeps its own copy of the list. When an inspection is created, the template's sections and items are copied into it. Changing a template changes only the inspections started after that. Ones already in progress keep the list they started with.
  • Prices are read when the quote is made, so a price you change today fills in on any quote made from now on, even from an inspection started yesterday.
  • A duplicated template is never the default until you set it.

Where it ends

Your templates are ready, and the right one is the default. Next, lesson 3: starting an inspection.
