3. Starting an inspection
Start a digital inspection from the Inspections tab or straight from the job the car is in for. Pick the template, the job and the technician.
Where it is
- Service → Workshop → Inspections — New Inspection
- New Inspection
Settings for this
- Inspections → Manage Templates — Set default: the template New Inspection picks first
Who this is for: technicians and service advisers.
Where to find it
Three ways in, all to the same New Inspection box:
- Service › Workshop › Inspections, then New Inspection.
- + (Create) at the top of the screen, then New Inspection.
- From a job: the ⋯ menu at the top of the job, then Digital inspection. On a phone it's in the job's ⋯ sheet.
Car already in on a job? Start from the job. That adds the inspection to the job the car is in for. Started anywhere else, it makes a second job unless you pick the job yourself.
Step by step: the New Inspection box
- Template (the only field you must fill). Your default template is already chosen and marked "(default)". Pick another if this check needs it.
- Job. Leave it on A new job for this inspection for a stand-alone check, such as a pre-purchase inspection booked on its own. Or pick the open job the vehicle is already in for (shown as its number and title). From a job, it's already chosen.
- Customer. Type to search. Not there? Press Add new customer, fill in First name and Last name (email and phone are optional) and press Add Customer.
- Company, if the car belongs to one.
- Vehicle. The list shows only that customer's vehicles.
- Technician. It's you by default (marked "(me)"). Pick whoever will do it, or leave it unassigned.
- Trip Context and Usage Context, if they help: "Cape York July", "Daily driver, touring". Both print on the report, so the customer sees the check was done for their trip.
- Press Create Inspection. The inspection opens, in Draft.
When you pick a job, its customer, company and vehicle fill in and the Customer, Company and Vehicle fields grey out: they come from the job. The note under Job reads "Added to this job, with its customer and vehicle."
Which job to choose
| The situation | Under Job, choose |
|---|---|
| The car is in for a service and the tech spots more | The service job (or start from the job's ⋯) |
| A pre-purchase or pre-trip check booked on its own | A new job for this inspection |
| A customer drops in and wants a quick safety check now | A new job for this inspection |
Only jobs that are still open are listed. A job that's Delivered, Closed or Cancelled can't take a new inspection.
What happens by itself
- A new job for this inspection makes a Draft job of type Inspection, named after the template, with the customer and vehicle. It shows on the Workshop board under Draft; book it in like any job (Workshop jobs course, lesson 2).
- An existing job gets the inspection. The job's Linked Records panel lists it, for example "INSP-0007 · not started" or "INSP-0007 · in progress" (just the number once it's completed). Click it to open it. On a phone or tablet, Linked Records is on the job's Details tab.
- The inspection's own page has a Workshop Job card with Open linked job →, so you can always get back to the job.
- The inspection gets the next number: INSP-0001, INSP-0002 and so on.
Where it ends
The inspection is made, in Draft, on the right job. Lesson 4: doing it.
