5. Turning findings into a quote
Every Caution and Fail becomes a quote line at its typical price. Check the wording and prices, untick what is not wanted, and create the draft quote.
Where it is
Settings for this
- Inspections → Manage Templates — Each item’s typical $ price (ex GST)
- Settings → Modules & flow — What an accepted stand-alone inspection quote becomes
Who this is for: service advisers, and technicians who price their own findings.
Where to find it
On a completed inspection, the orange Create Quote from N Findings button, where N is the number of Cautions and Fails. On a big screen it's in the right-hand column; on a phone it's at the bottom of the page.
If it's grey, the line under it says why: "Mark inspection completed to enable." or "No flagged findings to quote."
Step by step
- Press Create Quote from N Findings. The Price the findings box opens.
- Read each line. Every Caution and Fail is a line, with its result, its section and its item. The wording box starts with the bucket in capitals (such as [SAFETY REQUIRED]), the section and the item, then the technician's note.
- Tidy the wording if it needs it. This is exactly what the customer reads on the quote.
- Check the Price ex GST. Where the template has a typical price for the item, it's already filled in. Where it doesn't, it's blank: type one.
- Untick anything that shouldn't be on the quote, such as an item the customer already said no to, or one you're fixing under warranty. Unticked lines are greyed out and left off.
- Check the total at the bottom: "4 lines · $1,240.00 ex GST". If any ticked line has no price, it warns you in amber: "1 still at $0".
- Remember these prices on the template, so they fill in next time is ticked. Leave it ticked if the prices you typed are your usual prices. Untick it for one-off prices, such as a discount for this customer.
- Press Create the quote. BuildTrack makes a draft quote and opens it.
Then: check it and send it
- Price-check the quote. Each finding is one line, quantity 1, as words with a price. If the work needs parts from stock, add them as product lines so they can be held when the quote is accepted.
- Send it with Send to Customer, exactly like any other quote. Lesson 2 of the Orders course covers sending, the customer accepting, and what happens next.
What happens by itself
- The quote is made for the inspection's customer, company and vehicle, as Service & Repair work, with the note "Generated from Inspection INSP-0007". GST is added on top at your usual rate.
- One quote per inspection. Once it's made, the button reads Open Generated Quote and takes you to it. If you re-open the inspection and flag something new, it isn't added to the quote: add it on the quote yourself. (If the quote is deleted, the button goes back to Create Quote from N Findings.)
- Remembered prices are saved onto the template's item: only prices above $0 that differ from the typical price. The next inspection made from that template fills them in. Lesson 2 shows where they live.
- When the customer accepts, the work goes onto the job the inspection was done on, if it's still open: its lines are added to that job's sales order, and the job's parts and tasks pick them up. No second job is made (the Sale to job course lesson 5). A stand-alone inspection's quote follows your usual rule in Settings › Modules & flow.
Where it ends
A priced quote for the flagged work is with the customer. Lesson 6: what they see.
