3. Dealer pricing: tiers, groups and one-off prices

How a dealer’s price is worked out: their own price for a product, the product’s tier price, the tier’s group discount, the tier’s discount, then retail. And how portal tiers and CRM price tiers meet.

Where it is

Settings for this

Who this is for: owners, admins and managers. Only they can see and change pricing tiers.

All dealer prices start from your retail price: the product's sell price, ex GST. GST is added on top in the portal.

Where to find it

  • Dealer Portal › Setup › Pricing tiers: the tiers and their group discounts.
  • Dealer Portal › Setup › Product groups: the groups those discounts apply to (lesson 4 has the step by step).
  • Dealer Portal › Dealers, open a dealer: its tier on Details, its one-off prices on Pricing.

Step by step: a tier

  1. Press Add Tier. A tier called "New tier" at 0% is made straight away, and it opens.
  2. Fill in Tier name (such as "Gold") and an optional Description.
  3. Price: A discount off retail, or Each product's Dealer / Trade / Franchise price: the price set on each product's Pricing card. Dealers on a tier that uses one pay that price, here and on your own quotes, orders, invoices and POS, and their company's price tier changes to match.
  4. Stock discount (%): the % off retail for this tier. On a tier that uses a product price it's called Discount when a product has no … price (%), and applies only to products without one.
  5. Drop-ship discount (%): the % off retail when the dealer has an order sent straight to their own customer (lesson 5). Leave it blank and drop-ship orders get the stock price.
  6. Minimum order (ex GST) and Maximum order (ex GST) (optional): this tier's own order limits. Blank uses the business default from Orders & invoicing (lesson 5).
  7. Sort order sets the order tiers are listed in. Active keeps it in use.
  8. Press Save.
  9. Group pricing overrides, further down the same panel: for any product group, type a Stock % (and optionally a Drop ship %) and press Save on that row. Remove takes it off.

The list shows each tier's Name, Price, Drop-ship discount, how many Companies are on it, and whether it's Active.

Retiring a tier? Move its dealers to another tier first. A tier with dealers on it can't be switched off: Save says how many are still on it. (A tier switched off before this rule, with dealers still on it, shows Inactive · still pricing its dealers.)

Step by step: one dealer's own price

  1. Dealers, click the dealer, then the Pricing tab. Tier at the top shows their tier.
  2. Under Add override, search for the product by name or SKU.
  3. Choose % off or $ price, type the amount (a $ price is ex GST) and press Set.
  4. It appears under Per-SKU overrides for this dealer. Remove takes it off.
  5. + Drop-ship price on an override gives it a different price for drop-ship orders. Blank means the override's price applies to drop ship too. Change and Clear edit it.

How a dealer's price is worked out

BuildTrack goes down this list and stops at the first one that applies:

OrderWhat it checksWhere you set it
1This dealer's own price for this productThe dealer's Pricing tab
2The product's own Dealer / Trade / Franchise price, when the tier's Price uses oneThe product's Pricing card
3The tier's discount for the product's groupPricing tiers › the tier › Group pricing overrides
4The tier's Stock discountPricing tiers
5No tier: your retail priceThe product's sell price

Then the margin floor (Setup › Guardrails, lesson 4) checks steps 3, 4 and 5. A product's own tier price (step 2) is set by hand, so the floor leaves it alone. If the price would give you less than your minimum margin on the product's cost, the dealer pays the floor price instead: cost ÷ (1 − margin), rounded up to the cent and never more than retail. A price you set by hand in step 1 is never changed by the floor; Guardrails lists it as Under the floor so you can fix it.

An example. A lift kit retails at $200 ex GST and costs you $130. The dealer is on Gold: 20% off, and 30% off the Suspension group.

  • Gold's 30% Suspension discount gives $140.
  • Your minimum margin is 15%, so the floor is $130 ÷ 0.85 = $152.95. The dealer pays $152.95.
  • If you'd set this dealer's own price at $150 on their Pricing tab, they'd pay $150, and Guardrails would list it under the floor.

Drop-ship prices

For a drop-ship order (lesson 5) the same order applies, with the drop-ship values:

  1. The dealer's own price: its drop-ship price if it has one, otherwise its normal price.
  2. If the tier has a Drop-ship discount: the group's Drop ship %, or else the tier's drop-ship %.
  3. If the tier's drop-ship discount is blank: the stock price, unchanged.
The tier's drop-ship discount turns drop-ship pricing on. A group's Drop ship % is only used when its tier has a drop-ship discount of its own.

Portal tiers and CRM price tiers

A company has a Price Tier in the CRM (Retail (RRP), Dealer, Trade, Franchise) as well as its portal pricing tier. How they meet:

What happens
A portal tier set to Each product's Dealer / Trade / Franchise pricePutting a dealer on it sets the company's CRM Price Tier to match. Setting the Price Tier on the company moves the dealer to the portal tier linked to that price, when one exists
Staff quotes, orders and invoices for a dealer on a portal tierUse that dealer's portal price, unless a running price list (Inventory › Price lists) or a price negotiated on the CRM company comes first
A company with no portal tierSees retail in the portal, whatever its CRM Price Tier says. Your staff's quotes still use its Price Tier
Inventory › Price listsStaff pricing only. They never reach the portal

So the simplest set-up is a portal tier for each product price you use (Dealer, Trade, Franchise), with every dealer on one. Then the portal and your staff charge the same.

What happens by itself

  • A dealer's order is priced when they check out, and its lines carry those prices to the sales order and invoice.
  • A change to a tier, group discount or override shows to dealers on their next page load.

Where it ends

Every dealer is on a tier, the groups that need a different discount have one, and any one-off deals are on the dealer's Pricing tab.
