7. Managers: watching the floor and the hours
For managers: the Live floor shows who’s on what right now, and Workshop hours puts hours sold, delivered, clocked and paid side by side each month.
Where it is
- Service → Workshop → Live floor
- Reporting → Workshop hours — Needs permission to see labour rates
Who this is for: workshop managers, foremen and owners.
The Live floor
Sidebar Service › Workshop, tab Live floor. Any workshop role can open it: it shows no rates or costs.
Across the top:
| Tile | It shows |
|---|---|
| Clocked on | People on a job timer, and the share of everyone on site |
| On shift, no job | People clocked on for their shift but not on a job |
| Jobs on the go | Jobs with someone on them, out of all jobs in the workshop |
| Lines done | Labour lines finished, and how many today |
| Hours today | All job timers today, and the share that's productive |
| Ready for pickup | Jobs marked ready, and how many are booked in next |
Then three columns:
- On the clock: each person on a job, with the job, rego, line, timer and the line's hours against its estimate. Left running? means a timer has gone past 10 hours: someone probably forgot it.
- Jobs in the workshop: every job being worked, people first. Nobody clocked on means a job with nobody on it. Each card has the lines done, hours against the estimate, parts, QC and when it's due.
- On shift, no job: paid time nobody is billing. Ask what they're on. Up next today is what's booked in and not started. Ready for pickup is what's waiting to go.
On shift, no job needs the shift clock. If nobody uses it, the tile says Attendance not set up.
On the TV
Press TV mode. It shows the same board with no menus, scales to the screen, scrolls long columns by itself and keeps the screen awake. Exit TV comes back. Full screen does the same inside the app.
Workshop hours
Sidebar System › Reporting, then Workshop hours under Operations. Use ‹ and › to change the month. Only people allowed to see labour rates can open it, because it shows paid hours and labour cost.
Four numbers get called "hours billed", and they aren't the same:
| Number | What it counts |
|---|---|
| Hours sold | Labour on invoices dated this month |
| Hours delivered | Sold hours on work finished this month, whenever it was invoiced |
| Hours clocked on jobs | Time technicians clocked onto jobs this month, and its share of shift time |
| Paid hours | The paid hours a month you set for each workshop person in Settings on this report |
A shop that invoices at the sale and fits weeks later sees sold and delivered land in different months, so Sold this month and Delivered this month reconcile them line by line.
- Paid but not on a job: paid hours less clocked hours. It's the time nobody can bill.
- Finished with no time clocked: jobs finished this month with nobody clocked on. Their real hours are lost, so chase them.
- Break-even: the monthly labour cost ÷ the target rate. Press Settings on the report to set it up.
- People: each person's Paid, Shift clocked, On jobs and On jobs % of shift. This is productive % for the month: green from 80%, amber from 60%, red below.
- Work: every job finished, invoiced or clocked this month. Filters such as No time clocked and Not invoiced find the ones to fix. Click one to open it. CSV downloads the list.
A good weekly habit
- Every day: glance at On shift, no job and Left running? on the Live floor.
- Friday: chase unconfirmed weeks, fix queries, approve (lesson 6).
- Month end: open Workshop hours. Look at Finished with no time clocked and Paid but not on a job first.
Where it ends
Everyone is on the clock, and every job's time is on the job.
