9. Dispatch: pick, pack, send, collect

Everything with goods still to leave is on the Dispatch board, against today’s courier cutoff. Pick it, pack it, book the freight and send it.

Who this is for: the warehouse, and anyone who sends goods.

Where it is

Sidebar Stock › Inventory › Dispatch. On the Orders desk, Pick it and Send it open the order here directly.

The board

Five lanes: On hold → To pick → Picking → Picked — to pack → Dispatched.

On hold is orders nobody has started whose stock isn't all in. Each card lists the purchase orders bringing the missing parts in, with their ETA (red once it has passed), or says no PO has been raised. You don't release them: once the PO is received and the stock is in, the card moves back to To pick by itself. To send what's there now, drag it to Picking.

To hold an order for another reason (awaiting payment, the customer, an address problem…), drag its card into On hold or press Put on hold… in the order, and give a reason. Its clock stops, and it stays there until someone presses Release or drags it out. It's the same hold as on the Orders desk, so a hold set on either desk shows on both.

Dispatched shows what went out today. Switch it to 7 days to see the week.

Each card shows:

  • its channel and customer;
  • how much stock is ready (green dot means all in stock);
  • who has it;
  • a clock to its courier cutoff: green, amber inside two hours, red once late.

The Late view collects everything that missed its cutoff. Send those first.

Step by step

  1. Start at the top of To pick: the cards are ordered by cutoff, so the top one is due first. Drag it to Picking, or click it and press Start picking. It's yours now, and its pick list opens with bins.
  2. Pick. Tick each line as you pick it, or press Pick all remaining. Then press Finish picking; the card moves to Picked — to pack.
  3. Book the freight. On a picked card the main button is Book freight. Press Get freight options, choose a rate and press Book this rate (Transdirect or Pack to the Future), or Send to Interparcel ↗. Booked somewhere else? Add the tracking on the Ship tab.
  4. Send it. Press Dispatch goods (it leads once there's tracking), or Print label & dispatch to do both at once on a fully picked order. Stock leaves, and the customer gets the tracking. For a Shopify order, Shopify is marked fulfilled and emails the customer itself.
  5. Customer collecting? Press Customer collected when they take it.

Picking several at once

Tick the cards' boxes and press Create wave: one walk through the warehouse, one tote per order. Pack bench is for scanning items into parcels, and More › Day close closes the day's manifests.

Parts for the workshop

The For the workshop view lists parts going to a job, by booking date. They go to the bay, not a courier, so they have no cutoff. Lesson 8 covers them.

Franchise orders

You can pick a franchise order here like any other. Sending it records the dispatch on the franchise's purchase order too. You can also send it from its order page with Dispatch (lesson 6).

The TV

TV mode puts the warehouse floor on a screen on the wall:

  • today's progress and the cutoff;
  • late orders and on-time this week;
  • deliveries coming in, and which ones free up a waiting order;
  • parts to pull for upcoming bookings;
  • the products holding the most orders up;
  • a live feed of what's arriving and going.

Where it ends

Out the door: the card moves to Dispatched, with its tracking number. It stays there for 7 days.
