4. Parts for the job

The job’s parts are held on its sales order. Order what’s short from the order, watch it on the Orders desk, and book the car in once the parts are here.

Where it is

Who this is for: sales staff and service advisers who promise customers a date.

The Orders course lesson 3 (purchase orders) and lesson 8 (fitting orders) cover this in full. This lesson is the short version for whoever sold the job.

Where the parts are held

On the sales order, not the job. The job's Parts tab reads it live: its Alloc column is what the order holds for each part.

When something's short

  • A job with a sales order: order it from the order. On the readiness strip press Order missing. In Order Missing Items, check the Supplier on each line, set the Expected Delivery Date (needed for goods) and press Create PO (or Create n POs for several suppliers), then approve and send the PO. The order then knows those lines are on order, and when the stock arrives it's held for this order.
  • A job with no sales order, or a part added on the job itself: on the job's Parts tab press + Order Parts (it shows while some part isn't fully installed), choose the Supplier and press Create PO. It orders only what's really short: not what's fitted, picked or held, and not what's already on an open PO for the job. If nothing is short, it says so and makes no PO.

While you wait, put an In progress job on hold as Waiting on parts (Workshop jobs course lesson 6).

Watching it

On the Orders desk, the view In the workshop lists every order being fitted:

Parts late for booking (red)Booked within three days with parts not ordered, or the supplier's date lands on or after the booking

When stock arrives for an order that was waiting on it, the order's owner gets a Stock is in bell. That's your cue to ring the customer and book them in.

Where it ends

Every part is held and the car is booked. The Dispatch board's For the workshop view lists the parts to pull before the day.
