For franchise staff: order stock from head office at your price, send it, pay it, receive it and return anything that isn’t right.

- Integrations → Xero — Head office’s invoice arrives as a draft bill
Who this is for: franchise staff who order stock from head office.
Where it starts
Sidebar Stock › Purchasing › Purchase Orders, tab Order from HQ (open it).
Step by step
- Pick what you need. On Catalogue, search by SKU, name or brand. Your price is what you pay, ex GST. Head office shows what they have free; You shows what you hold, have coming and have already ordered. Enter a quantity and press Add.
- Or restock what you sold. The Restock what you sold tab suggests a month's worth of what you sold in the last 90 days, less what you have. Press Add all n to your order.
- Review it. Your order builds up on the right. Press Review and send to open it.
- Approve, then send. On the order press Approve, then Send to HQ. If head office's prices differ from what's on your order, a box shows the differences; press Use these prices and send.
- Follow it. The order page tells you where it is, in a sentence:
| You'll see | It means |
|---|---|
| With HQ | Head office has it and hasn't accepted it yet. You can still cancel it. |
| Payment due | Accepted. It's dispatched once the invoice is paid. |
| Accepted | Accepted, and they'll dispatch it. |
| Part shipped | Some is on its way. Receive what arrives; the rest follows. |
| Shipped | All on its way. Receive it when it arrives. |
| Received | Done. |
- Pay. The Network Invoice card shows the balance. Press Pay $x by card, or pay by bank transfer to the details shown, quoting the reference. You're told when the payment clears.
- Message head office in Messages with head office on the order. Tick Internal note for a note only your business sees.
- Receive it. When it arrives, press Receive Stock. The quantities sent are filled in; choose Receive into and press Confirm Receipt.
What happens by itself
- Head office's invoice goes into your Xero as a draft bill at the next sync. If it doesn't, use More › Push to Xero as Bill.
- If head office closes the order short, a credit note comes off your invoice and the order says so.
Cancelling
Before head office accepts it: More › Cancel Order…. After that, ask head office to cancel it.
Returning something
- On the order, More › Return for Credit. Choose the lines, the reason and the quantity, then press Raise Return.
- On the return, press Ship Return, add the carrier and consignment note, then Ship & Remove Stock.
- Head office receives and credits it (or declines it, and the goods go back into your stock). The credit shows on the return and on your order.
Where it ends
You receive everything: the order is Received.
